Adelaide PCO Wins The Space Race

Adelaide based Professional Conference and Event Organiser (PCO), All Occasions Group has, after an intense international tender process, won the right to manage the 68th International Astronautical Congress (IAC) to be held in Adelaide, South Australia in 2017.

All Occasions Group (AOG) is one of Australia’s most highly regarded conference management companies with experience managing conferences and events throughout Australia and across the globe in destinations such as Estonia, Borneo, Egypt, Hawaii, Malaysia, Vietnam, Portugal and South Africa.

The IAC in September 2017 is the largest business event to be held in Adelaide.  It is expected to attract more than 3,000 delegates from around the world including a number of astronauts and will contribute $20m to the state’s visitor economy.  It will also provide 22,000 bed nights for our hotels and create more than 170 jobs.

The IAC win has been a 12 month process for AOG Director Anne-Marie Quinn and is testament to her tenacity to grow and develop her business further.  “I became aware the Adelaide Convention Bureau was bidding to host the 68th International Astronautical Congress approximately 12 months ago when I met Michael Davis, head of the Space Industry Association of Australia.  He, along with others from the Astronautical field had been working alongside the Bureau on the bid document.  We stayed in contact so when Adelaide was announced as the host city in October 2014 I realised there was now a major opportunity for AOG to bid for the right to manage this highly prestigious and massive event.”

The tender process was conducted over the 2014/15 Christmas and New Year period and whilst a traditional holiday break for most, AOG was hard at work preparing their bid submission with key team members communicating from various parts of the globe back to those in Adelaide whilst on leave with the result clearly paying dividends.

“As the largest event managed by AOG in its 17 year history, it is timely we are about to move into larger premises and will be hiring  3-5 new staff to enable us to deliver this  substantial 2.5 year project to  the exceptional standard we strive for on all campaigns regardless of size” said Ms Quinn.

The massive undertaking to manage this project of some 3000+ delegates will see AOG, in full consultation with the IAC organising committee oversee;

Budget Management.

Marketing and Communications – undertake a plan targeting potential delegates globally.

Venue Management – from ‘bump-in’ to ’bump-out’ for both the congress and exhibition – essentially the go-to person between the event and the Adelaide Convention Centre.

Event Management – from registration to dietary requirements of delegates, manage audio-visual requirements, provide secretariat services and a messaging service for delegates and speakers.  A schedule of associated events and workshops is also to be created.

Exhibition Management – total management of the exhibition including establishing the floor plan, creating packages for and liaison with exhibitors and managing an onsite internet café.

Travel – reserve and manage blocks of bookings at numerous Adelaide Hotels and negotiate rates.  Manage air and ground transport requirements, provide personalised itineraries for delegates and co-ordinate all ground transport requirements and shuttles.

Program Management – establish a suitable event program structure and schedule including opening and closing ceremonies.

Social Program – develop concepts for social functions as part of the event as well as creating a schedule of activities/tours for partners. Create options for pre and post touring and off site tours during the event incorporating regional South Australian options.

Sponsorship Management – work to establish attractive sponsorship opportunities and packages, and manage sponsors.
